Timesheet Improvements
i) Timesheet Entry Check - If a student/user tries to submit a timesheet entry, for the same day at a different location, the entry will be rejected
ii) Timesheet Date Check - If a student/user tries to enter a timesheet entry for the same date as one already submitted, a reminder appears on the entry pop-up.
iii) Timesheet Assessor Check - We now do not include the assessor email as part of timesheet entry check for duplication.
Timesheet Exception Report (beta)
Following feedback from customers, we have introduced a new report to help identify potentially duplicated timesheet entries within students portfolios. This report enables users to report across groups and the report will list any potential entries which appear to be duplicates.

My Files / Evidence Area
Users, if enabled, will have access an area called "My Files"; similar to the area of MyShowcase called "Stuff" for those who are familiar with it. Users will be able to create folders, with files, which can be added to students Portfolios within responses or store as part of their profile for later use.
Users will also have access to be able to, if enabled within the Form Authoring tool, the option to add a URL, which would appear as a thumbnail and clickable through the students Portfolio.

MyProgress App
i) Previously Likert tables within the MyProgress app were not easy to navigate. Within the new app version, we have made improvements to the display as below:; enhancing it to be more user friendly.
ii) Development to further ensure that any rich text form items are displayed correctly, following ad-hoc reports of issues.
iii) We have re-configured the MyProgress app sign in page for students, which will improve the Single Sign In process. The change will match the web version - ensuring a more seamless transition and experience.
Students, instead of pressing "Sign In" multiple times, will only be asked once and have more University specific branding to match the web.
Student Timesheet Report
When timesheets are enabled on a Program Instance, students are able to access the "Timesheet Report"; giving access to a downloadable report. The report options and format reflects the same options as the standard Timesheet Report available to other users.

Bulk PDF Download
As a custom role function, a new area for Reporting is now available called "Bulk PDF Download". This feature, now offers the ability to download responses as PDFs, done against a specific form template and group. Users are also able to queue a report, continue with other administration tasks and then come back to download the export.

Administration Enhancements
i) Exporting Users / Groups - We have further improved both the Users and Groups area. Previously when exporting Users/Groups - ALL User/Groups would be included in the download. Now, if you apply filters, then export; only the filtered options are included as part of the download. Guide - Managing Groups and Managing Users
ii) Email for Later - Within the Program Templates and Instances, we have added an option to allow email for later to be switched off for Allocation Forms. Guide - Form Options
iii) Draft Visibility - Currently users who have access to a students Portfolio, can see if a student has a draft against a form. We have now extended that feature to enable any draft created to now be visible; so for example if a tutor has created a draft that is now listed like a student's draft would be. Users will have a new "view draft" option (figure 1 below) if enabled within the role, giving them a pop - up with detailed information (figure 2 below) regarding when the draft was created, updated and by whom. (Role Updated Required: Y)
iv) User Diagnostic Report - Following customer feedback, we have made the addition of a users role within a group to be reported on if applicable. Guide - User Diagnostic Report
v) Progress View Report - Following the release of the report in 8.4, the option to select multiple groups is now available when setting up the search parameters. Guide - Progress View Report
vi) Integration References - For customer using placement integrated systems, for example, InPlace, ARC or PEMS, we have made some changes to how references are checked, when the overnight sync occurs. It will now review the reference as a full match - then it will look at "contains" - rather than just "contains" as it does currently. This will enable references like the below to place allocations correctly.
vii) Timesheets by Group Report - We have made available a beta Timesheet by Group Report, also known as "Practice Hours Report", which offers the same search parameters as the existing "Timesheets" report, minus the "user" filter. This enhances the time in which it takes to process the report. If this is successful and we have positive feedback, we will look to remove the "users" option for all reporting to enhance the performance times. Guide - Timesheet Report
viii) Progress View Evidences - When navigating to the "Evidence" tab within the Progress View UI, the evidences listed now include every response within the students Portfolio. This allows easier mapping of responses.
Program Instance / Template Administration
The options for the administration of Program Instances and Templates have been streamlined, as part of the inclusion of the Evidence area. Users can now build Program Templates without Part/OAR sections, unlike previously where those were mandatory. We have also removed the "button" UI options, for items, now switching to a more sleek and adaptable "drop down". This enables users to change items into new types at the click of a button. Also as part of this, we've introduced the option for individual items to be available to edit and/or deleted by students - overriding overall site settings.
Grade and Persistence Reference
Within the Form Authoring tool, there was the introduction of "Reference" box, which is used alongside the persistence feature. The Reference box began being used for other reasons, such as custom dashboards, custom reports and API's for student management systems. To enable us to ensure clarity for users, on what References are in use and also, to be able to use different references, we have introduced 2 new boxes.
"Persistence Reference" - Used when persisting data between forms (Any existing References will be copied to this box during the Version 8.5 update)
"Grade Reference" - Used if we are integrating into a customer student management system or similar via API (for example Canvas and Blackboard)*
The "Reference" option will remain, but this will now be used when we are creating custom dashboards and/or reports.*
*These are additional paid for developments, speak to your Account Manager for more details
General Usability and Performance
i) Reauthenticating pop-up - If a user has been logged in for 24hours, the token automatically expires and prompts a sign out / sign in process. This currently forces the web-browser to fully sign out and the user having to navigate back to their last position in MyProgress. Now, rather than the web browser refreshing to time them out and force them to log back in, a pop up appears to allow reauthentication. This enables the user to continue their session, in the page they had open, rather than re-navigating back to it.
ii) Form Completion - The "save and close" button has been re-named to "save & close draft":
iii) Multi-Factor Authentication - As a custom role option, users will be able to initiate a reset of a users phone number for the MFA feature. Guides: MFA Guide and How to Setup MFA
iv) Form / Draft Completions - If users have multiple tabs open in their browser, accessing the same draft. MyProgress will notify the user, via a pop-up, upon saving or submitting that - "This draft has been modified in another tab or session. Please reload". This ensures that users drafts are kept up to date and data is not lost.
v) Unallocated Timesheets - If any issues cause Unallocated Placements (and they appear listed in the top of the instance), they placement previously still appeared as an option to log timesheets against. We have added a fix to only show placements with a valid reference so they don't appear in the timesheets dropdown anymore and therefore can't have timesheets logged against them.
vi) Apprenticeship Status via API - We have updated our existing Apprenticeship API, to also include the "status" of a student, for example - Active, Leave of Absence, Completed. This then automatically updates their status within MyProgress for more accurate data.
vii) Report Timeout Improvements - Currently, if a report is processing and it times out, it continues to show the user a spinning icon - making users believe it is still working in the background. Now, for all Reports, if the time taken to process the report extract, is longer than the 4 minute run-time, a notification will pop up to advise the user that the report has timed out. (Users can then send us a ticket via the Service Desk to extract the report)
viii) Performance Enhancements - When returning O-Data and Single Language UserGet information, we have made enhancements in performance when returning this data.
Bug Fixes / Other
i) Reauthenticating pop-up - If a user has been timed out due to inactivity, rather than the web browser refreshing to time them out, a pop-up will appear to re-authenticate the user, so if successful they can carry on where they left off.
ii) Sign Off - When a student is adding Sign Off details, to a response, it now prompts for at least 2 names to be added. This is especially useful when allocating staff to their Portfolio - as new users with only 1 name are unable to activate their accounts.
iii) Time Out - When importing placement allocations for students, larger cohort imports were timing out. The process has been improved to prevent this happening.
