MyProgress 8.2 Release Notes

New Progress View export

Myprogress 8.2 introduces a new progress view export option that includes the ability to include all form responses linked to a progress view as PDF's, along with multiple export options. Exports can only be triggered once the progress view is marked as complete.


After selecting the export option you are presented with 'export options'.


Four types of export are available:

  1. Zip Package - As with MyShowcase, generates a zip file of all content against the progress view, giving an option to view this interactively in two views, competency and evidence focused.

  2. PDF - Generates a PDF of all responses against the progress view starting with a cover page that includes user details such as name, email, external identifier and progress view description, with the overall deployment grade (if applied). Will also feature a table of all the users placement allocations ordered by start date.

  3. PDF Competency View - Same as above but a table is added to the cover page consisting of where the responses are mapped within the framework.

  4. PDF Evidence View - Same as above but focused on evidence first for the table view.


Two additional options are available:

  • Filter Responses: This is an optional filter that allows you to filter the evidence included in the export by ones marked with chosen marks.

  • Apply Watermark to PDF's: If enabled this will apply the systems logo to each page of the PDF's generated.


Once triggered the user will be presented with a message stating that the export process is in progress, this will automatically update when done or they can return later.


Once exported they have the option to download either the generated PDF or the zip package depending on what export type was selected.


This will also be available to download via the program progress view widget.


New part long dashboard option

There is now a new option on a program template to select the dashboard type, type 'Section' will work as it currently does, prioritising and grouping students to a specific section based of their current placement.


When the 'Part' options is selected, the dashboard will display all sections within the users current part, highlighting the users current section using the branding colour. The addition of a multi select section filter has been added so users can filter the data on the sections they are interested in specifically, default being all when filter is empty. Ongoing sections will continue to works as they do in the 'Section' type dashboard and will always be shown after the general sections.


Deadlines should also be calculated based on the users allocation to that section, the idea is medical rotations (allocations) would be set for every section within the part initially for a student, meaning the deadlines should adhere to the dates of the allocations for all sections within this dashboard display.


New option to remove submit button for emailed forms

MyProgress 8.2 introduces a new form program item setting that allows administrators to suppress the submit button when students are completing forms. This is useful when the email for later workflow is used and you want to ensure the student can only send the form on to somebody else to complete via the email for later option (however we have not restricted this just to this workflow, as may come in useful to suppress any form being submitted for whatever reason).


When enabled, the submit button will be suppressed on both the web and the app.


Ability to set visibility rules on program template

Program restrictions can now be defined at the template level rather than just the instance. You have the option to enable them on the template. You will then have the ability to build these rules on the template once enabled.


This also includes a change to the program import process too, due to the group types being used on these 'can access' rules not existing in the target site. You are able to map group types that have been used from one site to another.


Changes to form permissions

The organisation that the user creating a form is automatically added as an owner to the permissions on newly created forms.


In addition to this, when importing program templates you should now be presented with an option to build permissions that will be added to all newly created forms as part of the import process, note this will not update permissions on forms that have already been imported or existed already.


Changes to placement and allocation management

Ability to link practice staff to a provider

We have added a new area to editing a provider where you can allocate Practice Staff to the provider, this works similarly to how it works on a specific allocation, by being able to add external role users and apply a relationship, following the rule of only allowing one practice assessor but many practice supervisors.


*Please note, this data only gets applied to the provider when the sync runs so one to watch out for before allocating to the provider.


Once this data is set up, when allocating a user to this area by creating a placement allocation via the manage instance page, the assessors linked to the provider should automatically be applied to the allocation.


Any subsequent changes to the providers assessors will not affect current allocations, and changes will only be applied to newly created allocations.


Ability to upload allocations across a Program Instance

Students placement allocations can now be bulk uploaded across the whole Program, rather than individually for each allocation using the new Program "Import Allocations" option.


Identifying students by email address when uploading allocations

As part of the import process, via the Excel template, instead of using the students Unique ID (Reference) their email address can now be used to validate the students details.


Applying default dates when uploading allocations

In the allocation upload, if start and end dates are not added to the import spreadsheet, it will import the placement start and end dates entered within the Program Instance.


Changes to provider import

The provider import has been updated so that any Practice Staff that you want to link to a placement provider can be added during the import.


Administration of Placement Allocations not linked to a Program Instance

This is mainly for integration customers, and you may not have data in this state.


There is a new area in the Program Instance, where it will highlight any placement allocations linked to users within the linked (cohort) group, that could not be linked to a program/placement section and allows you to either delete or allocate.


Skipping duplicate allocations in allocation upload

When using the import template to add students placement allocations, if you upload repeatedly the same allocations, MyProgress will now validate and ignore them. Previously MyProgress would not ignore those duplicates and issues occurred with "current" status showing.


Deprecation of "additional content" functionality against providers

As we will not be building on this little-used functionality and plan to replace it with equivalent functionality in the future, we have disabled the ability to add additional content against providers for most customers.

For organisations that are using this functionality we have made small improvements to the display of the data in some areas of the system and have changed the provider upload to support updating additional content.


External Visibility Toggle

A user can now have multiple visibly options, including both internal and external visibility, with their main dashboard. This would allow an Administrator, for example, within an Organisation to toggle between the "standard" dashboard view of cohorts and other groups; then switch to a dashboard of students who are on placement within a sub-provider of the Administrators organisation.


This will work for both organisation and group visibility roles. If a user is within an organisation, it will be treated as external organisation (indirect) visibility and if you have group, it will be treated as external (direct) visibility.


The feature is enabled through a custom role option of MyProgress. When this is enabled the user will be presented with a toggle to switch between the group dropdown view and the external view.


Note - This was developed for a specific customer requirement, so not generally thought to be used by most customers. For more information please reach out to the Service Desk.


Usability and performance improvements

Simplification of dashboard drop-down

The group filter on the dashboard page has had some improvements, firstly it's been changed to a searchable dropdown (you can type in the group drop down box), we have also included extra detail by providing the group type information on this list. We have also added a filter which, by default, only includes groups that are within date and allows the user to toggle this. If they only have groups that are not within date this option should automatically be checked.


Improvements to password reset process

Following feedback from non-single sign on users and service desk ticket analysis, we have simplified the process of resetting a forgotten password. Whereas previously there was a "continue" button, alongside the "verify" button, the "continue" button has been removed, until the code has been verified.


Improved Practice Staff experience

Myprogress allows Practice Staff to access a student's portfolio by completing an allocation form in the student's account that links them to the student, and creates an account if they don't already have one. Prior to MyProgress 8.2, there could sometimes be a delay between a Practice Supervisor, Practice Assessor or other user with a Practice staff role completing an allocation form, and them being able to see the student in their dashboard. This only happened under a specific set of circumstances (where they had previously accessed the dashboard and the original list of students had been cached), but it could cause significant issues, particularly if somebody only had a limited amount of time to complete an important form.


In MyProgress 8.2, we have changed the way that this process works to ensure that in all cases, students appear in the Practice Staff dashboard instantly upon completion of an allocation form.


Performance improvements to provider management screen

The performance of the provider management screen has been improved, reducing the time taken to load.


Removal of archived providers from provider management screen

In previous versions of MyProgress, archived providers were still available to use, when manually allocating students placements, within the Program Instance. This has now been fixed, so that archived providers are now ignored and will not show in the drop down.


Terminology improvements

Myprogress 8.2 uses the "student" terminology when selecting a group for a new programme instance, and uses the "external identifier" terminology on the student profile.


Resolved issue with completion of allocation forms by non-student accounts

In MyProgress 8.1, when a non-student was logged in and completed a form for a student that used the email invite workflow they would be asked to sign off the form using their name and email address, which wasn't needed as the system already knew who the logged in user was. This has been resolved in 8.2.


Timesheet Verification Email

In Version 8.0 we introduced timesheet verification. As part of this, when a student submits a timesheet entry, an email is sent to their Approver, as notification of the submission. This feature is now flexible to allow the individual email notifications to be disabled - meaning the Approver only receives the weekly email alert on a Sunday evening.


General Bug Fixes

1.0 - Importing users to add to groups, using the import users template, has resulted in confirmation of the users addition to the groups but in reality the users aren't added. This has happened to only 1 customer, but requires a general code fix for the identified bug.


2.0 - MyProgress was not respecting the ongoing tab order for forms, leaving the list in the overview section jumbled. This has been fixed.


3.0 - The students ID number and form completer information, was removed on the response PDF/view within MyProgress; this has now been re-added as part of 8.2.


4.0 - When PDF exports were being attached to emails, as a record of a form completion, if the form had sections - those were not being displayed as part of the extract. This has now been rectified and will show on the attached PDF.


5.0 - (AMC Specific) - Assessor status wasn't being applied to the user, if the form is completed by Dont Forget or Whats Next.
