The MyProgress AI Assistant is an optional AI chat assistant built into MyProgress, the placement and practice-learning platform from MyKnowledgeMap. The MyProgress Assistant answers questions from your own guides, help pages and FAQs, cites the source of every answer, and never invents one.
Are your placement teams overwhelmed by admin, answering the same questions every term?
A community practice supervisor is signing off an assessment for the first time since last spring. She's an experienced clinician who has signed off plenty of students. She simply wants to check she's doing it in the order this partner university expects: does the reflective comment come before her sign-off, or after? Is she the only assessor required?
It's 8pm. There's no one at a desk to ask.
Multiply that supervisor across every placement site and every cohort, and add the students. How many hours do I still need? Who countersigns this? What happens if my placement dates change? Which form applies to my programme? None of these are hard questions, and every one of them is already answered somewhere in guidance your team wrote carefully.
That's the frustrating part. The answer exists. Finding the paragraph that applies to this cohort on this form means putting down the task and searching a separate document — so people email the placement team instead, because asking a person is genuinely faster.
Except the people asking are on a ward or in a clinic at 7am or 9pm, when no one is at a desk to reply. And when replies come from several different inboxes, students end up receiving slightly different versions of the same guidance.
What is the MyProgress Assistant?
The MyProgress Assistant is a friendly chat assistant that sits inside the platform your students and practice staff already use, and answers those questions in seconds.
Users ask in their own words: "How do I submit my practice hours?", "How does my supervisor sign off my assessment?", and get an instant answer drawn from your own guides, help pages and FAQs, with a citation to the source. No switching systems, no ticket, no waiting until Monday.

Where does the MyProgress Assistant appear?
A chat bubble appears in the corner of MyProgress for the roles you choose. There are four places it shows up:
The MyProgress web app — help at the moment of need, without leaving the task.
The MyProgress mobile app — the same assistant for someone working on a phone between patients.
Your MyProgress login page — support for users who haven't signed in yet.
Emailed form links — an external supervisor with no account still gets step-by-step help.
The Assistant also knows where the user is standing. It sees which page they're on, the exact form they're completing, the template version their cohort uses and their organisation, and prioritises the answer for that screen. Someone asking "How do I complete this?" gets the right answer for the form in front of them, without having to explain the context first.

Three decisions drive that table. The MyProgress Assistant answers only from your content, with no internet trawling. The MyProgress Assistant enforces role and course permissions before composing an answer, so a student is never shown assessor-only instructions. And the MyProgress Assistant inherits your existing MyProgress branding automatically, so it looks and sounds like you with no styling work on your side.
How do you set up the MyProgress AI Assistant?
There's no technical project on your side, because you almost certainly have the content already. Three steps:
Add your knowledge. Upload guides in Word, PDF or PowerPoint — searchable within minutes. Paste the addresses of help pages you already publish, and they stay current as you change them. Build an FAQ inside MyProgress, with Excel export and re-import with a change preview.
Set up and preview. From one administration screen, switch the Assistant on, choose which roles see it, set its name, welcome message and starter questions, and upload an icon. Then preview as any role — ask test questions as a student, then as an assessor. You go live when you're satisfied, not before.
Launch and improve. Users rate answers with a thumbs up or down, and every question the Assistant couldn't answer is recorded.
Each content item is tagged with who it's for, and the MyProgress Assistant honours those tags in every answer.
What does the MyProgress AI Assistant do when it cannot answer?
It tells you — and this is the part we're most proud of.
Most support tools report what they did. The MyProgress Assistant also reports what it couldn't do, and makes fixing it trivial. Every unanswered question is logged privately within your organisation, then grouped and ranked by how often it's asked: "How do I request a placement change?", asked 42 times. Your team can turn any entry into a published FAQ or a signposted link in one click.
Thumbs-down ratings are tracked separately too, so you can spot the answers that exist but aren't landing.
Step three feeds step one. Instead of guessing where your guidance is thin, you get a live map of it in your users' own words — and coverage grows in response to real demand.

How does the MyProgress Assistant protect data and privacy?
Built for organisations that answer to information governance, not just to users:
Grounded answers only. The MyProgress Assistant answers solely from your approved content and always cites its source. If it can't find an answer, it gives the response you've drafted or points to your support team. It never guesses or invents a link.
Strict separation between organisations. Your content is yours alone. No other customer's assistant can draw on it, and yours never draws on theirs.
Role-secure by design. Permission rules are enforced before an answer is composed. Content a role isn't allowed to see simply cannot appear in its answers.
No training on your data. Your content and your users' questions are not used to train AI models, and data stays within your region.
Respectful analytics. Question logs exist to improve content. They're held within your organisation and kept only for a limited period.

Can a university use its own Azure OpenAI subscription?
Yes. If your university runs its own Azure OpenAI service, the MyProgress Assistant can use it for all AI processing: questions and answers processed inside your own tenancy, in your region, under the Microsoft agreement you already hold, billed at your rates — and revocable at any time.
