MyProgress
AI Assistant
A 24/7 first line of support inside MyProgress. It answers the repetitive questions for you, never invents an answer, and shows you exactly which questions your guidance doesn't yet cover.
What is the MyProgress AI Assistant?
The MyProgress Assistant is an optional extension to the MyProgress platform you already use. It's a friendly chat assistant that sits inside the web app, the mobile app and your login page, and answers your students' and practice staff's questions in seconds — drawn entirely from your own guides, help pages and FAQs.
Your users ask in their own words: "How do I submit my practice hours?", "How does my supervisor sign off my assessment?" They get an instant answer with a citation back to the source document. Nothing is invented, and nothing appears that you haven't published.

IN ONE SENTENCE
A 24/7 first line of support that answers the repetitive questions for you, never invents an answer, and shows you exactly which questions your guidance doesn't yet cover.
Why did we build the Assistant?
Because your placement team spends a large part of every term answering questions that are already answered in your own documentation — and because the questions are about process, not about software.
Picture a community practice supervisor signing off an assessment for the first time since last spring. She's an experienced clinician who has signed off plenty of students. She simply wants to check she's doing it in the order your programme expects: does the reflective comment come before her sign-off, or after? Is she the only assessor required?
It's 8pm. There's no one at a desk to ask.
Multiply that supervisor across your placement sites and add your students — how many hours do I still need, who countersigns this, what happens if my dates change, which form applies to my cohort. The answers all exist, in guidance your team wrote carefully. Finding the paragraph that applies to this cohort on this form is the hard part, so people email your team instead. And the people asking are on a ward or in a clinic at 7am or 9pm, when no one is at a desk to reply.
THE INSIGHT
The problem was never missing answers. It's that finding them takes longer than asking a person. The AI Assistant puts your own answer inside MyProgress at the moment of need — no switching systems, no ticket, no waiting until Monday.
Where does the AI Assistant appear?
A chat bubble appears in the corner of MyProgress for the roles you choose. There are four places it shows up:
1
Your MyProgress web app
Help at the moment of need, without leaving the task.
2
The MyProgress mobile app
The same assistant for someone working on a phone between patients.
3
Your MyProgress login page
Support for users who haven't signed in yet.
4
Emailed form link
An external supervisor with no account still gets step-by-step help.
CONTEXT-AWARE
The Assistant also knows where your user is standing. It sees which page they're on, the exact form they're completing, the template version their cohort uses and their organisation, then prioritises the answer for that screen. Someone asking "How do I complete this?" gets the right answer for the form in front of them, without having to explain the context first.
How is the AI Assistant different from a generic chatbot?

Three decisions drive that table. The MyProgress AI Assistant answers only from your content, with no internet trawling. It enforces role and course permissions before composing an answer, so a student is never shown assessor-only instructions. And it inherits your existing MyProgress branding automatically — your colours, your logo, your tone — with no styling work on your side.
How do you get the Assistant live?
There's no technical project on your side, and no integration work. You almost certainly have the content already.
1
Add your knowledge
Upload guides in Word, PDF or PowerPoint — searchable within minutes. Paste the addresses of help pages you already publish, and they stay current as you change them. Build an FAQ inside MyProgress, with Excel export and re-import with a change preview. Each item is tagged with who it's for, and the Assistant honours those tags in every answer.
2
Set up and preview
From one administration screen, switch the Assistant on, choose which roles see it, set its name, welcome message and starter questions, and upload an icon. Then preview as any role — ask test questions as a student, then as an assessor.
3
Launch and improve
Your users rate answers with a thumbs up or down, and every question the Assistant couldn't answer is recorded for you to review.
You go live when you're satisfied, not before. Nothing reaches a single user until you publish, and you can start with one role — students first, practice staff later — and change your mind at any time.
What does the Assistant do when it can't answer?
It tells you — and this is the part we're most proud of.
Most support tools report what they did. The Assistant also reports what it couldn't do, and makes fixing it trivial.
Users ask
Every question logged privately, within your organisation
Gaps surface
Unanswered questions grouped and ranked by how often they're asked
You fill them
Turn a gap into a published FAQ or a signpost
Coverage grows
That question is answered for everyone, forever after
Step 3 of setup feeds step 1 — a live map of where your guidance is missing, in your users' own words.

Your team sees a ranked list — for example "How do I request a placement change?", asked 42 times — and can turn any entry into a published FAQ or a signposted link. Thumbs-down ratings are tracked separately too, so you can spot the answers that exist but aren't landing.
Alongside that, an admin-only reporting area shows chat usage and trends, which content is used most and least, and individual user activity, all with Excel download.
What changes, role by role?
The Assistant is switched on per role, so each of your audiences gets an experience built for them.
Students
Answers at 7am before a shift or 9pm after one — hours, forms, who to contact
Fewer blocked timesheets and stalled forms, less anxiety, no waiting for office hours
Supervisors and assessors
Role-specific guidance on signing off assessments and verifying hours, without having to remember a system they use occasionally
Faster sign-offs, fewer abandoned assessments, less chasing
External supervisors
Step-by-step help from an emailed form link, with no account needed
Participation without onboarding
Placement and support teams
Repetitive questions handled automatically, plus reporting on usage, content used most, and where users get stuck
Time back for the complex cases that genuinely need a human
Academic teams
One approved source behind every answer given to students and partners
Fewer escalations, consistency across cohorts and sites
How is your data protected?
The Assistant is built for organisations that answer to information governance, not just to users.
Grounded answers only
The Assistant answers solely from approved content and always cites its source. If it can't find an answer, it gives the response you've drafted or points to your support team. It never guesses or invents a link.
Strict separation between organisations
Your content is yours alone. No other customer's assistant can draw on it, and yours never draws on theirs.
Role-secure by design
Permission rules are enforced before an answer is composed. Content a role isn't allowed to see simply cannot appear in its answers.
No training on your data
Your content and your users' questions are not used to train AI models, and data stays within your region.
Respectful analytics
Question logs exist to improve content, and they're held within your organisation. You decide how long chat history is kept: retain it for review, set an auto-purge window to match your policy, or purge on demand by age or cohort.
Accessible
The chat works with keyboards and screen readers, on the devices MyProgress already supports.
Can you use your own OpenAI service?
If your university runs its own OpenAI service, and it meets our technical requirements, the Assistant can use it for all AI processing: questions and answers are processed inside your tenancy, in your region, under the agreement you already hold, billed at your rates. We'll confirm the details with your IT team. Prefer not to? The fully managed option works out of the box.
Worth raising early. If your IT or information governance colleagues are likely to prefer this route, tell us early — it shapes how we set your environment up.

Questions we've been asked
Is the Assistant included in our existing MyProgress licence?
No. The Assistant is an optional extension to MyProgress rather than part of the core platform. Your Account Manager can talk you through commercials for your institution.
Does the Assistant search the internet?
No. It answers only from content you've uploaded, linked or published as an FAQ. There's no internet trawling and no answers drawn from anywhere but your own guidance.
What happens if the Assistant doesn't know an answer?
It says your guidance doesn't cover the question, and gives the fallback response you've drafted or points to your support team. It never guesses. The question is then logged and ranked so you can decide whether to fill the gap.
Can students see guidance intended for assessors?
No. Permission rules are enforced before an answer is composed, so content a role isn't allowed to see cannot appear in its answers.
Do external supervisors need a MyProgress account?
No. The Assistant can appear on an emailed form link, so an external supervisor without an account still gets step-by-step help.
Is our data used to train AI models?
No. Your content and your users' questions are not used to train AI models, and data stays within your region.
How much content do we need before it's useful?
Less than you'd expect — most institutions already have the guides, help pages and FAQs needed. You can start with a handful of documents, switch the Assistant on for one role, and let the unanswered-question view tell you what to add next.
What file formats can we upload?
Word, PDF and PowerPoint documents, searchable within minutes. You can also link published help pages by address, and manage an FAQ directly in MyProgress with Excel export and re-import.
Is the Assistant accessible?
Yes. The chat works with keyboards and screen readers, on the devices MyProgress already supports.
Can we turn it off again?
Yes. The Assistant is switched on per role from your administration screen, and you can change which roles see it — or switch it off entirely — at any time.
