Empower project management system 

The challenge:

To develop a system for the management of multi-partner projects, conducted over a wide geographical area and for partners potentially working in more than one language.

The solution:

MyKnowledgeMap has developed the Empower system to meet this challenge.

Acting as a live virtual community, the Empower system enables project players to talk to each other, find information as they would in an actual library environment, and to organise the complex administrative, auditing and communicative tasks they are faced with, so that they can run their projects effectively.

Empower’s organisational features enable a multi-organisation project to be run as directly and efficiently as if all partners were in the same building. These include:

• Resource libraries: giving access to browseable and downloadable minutes, templates, documents, agendas, presentations, graphics and logos
• Calendar and Diary functions: enabling effective planning of project events and work schedules etc.
• Online project document management capabilities
• Virtual organisation of a large project into the groupings that suit best - teams, working groups, committees etc – each with their own access levels, online documentation and management facilities
• Resource lists and activity plans: empowering partners to shape the development of the project.

The Empower system is fully content managed, offering project members a fully interactive forum within which they function as a virtual community across space and time. Information can be communicated, shared and uploaded by access level, as appropriate. The system contains:

• Public newsroom: updateable public face as a constant dissemination mechanism for your results and as a key tool in mainstreaming
• Online discussion groups and message boards
• Contact lists, including photos, pen portraits and project roles, and group email facility
• Self-maintaining partner profile information with logo and photo uploads

The Empower system supports the complex audit requirements of large-scale, widely dispersed multi-partner projects, so that partners can manage them efficiently. These monitoring and evaluation tools include:

• Methodologies for recording activities and meetings
• Wizards, templates and downloads for easy data input
• Expense claims
• Time sheets
